ICN+T 2008 Oral Presentation Guidelines

Contributed Oral presentations are 20 minutes in length, with nominally 16 minutes for your presentation and 4 minutes for questions.

Unvited Oral presentations are 40 minutes in length, with nominally 35 minutes for your presentation and 5 minutes for questions.

Plenary Oral presentations are 50 minutes in length, with 45 minutes for your presentation, and 5 minutes for questions. There will be multiple parallel sessions, so Session Moderators will be instructed to strictly adhere to the schedule.

All rooms will be equipped with standard PC's, screens, microphones, and LCD projectors. Please note that we are not providing overhead projectors in the session rooms. The conference will provide PC's in the session rooms and switchboxes will also be available for those who bring their own computers.

We strongly encourage you to test your presentation in the Presenter’s Preview Room (Castles 1) prior to your talk if you plan to use the PC and LCD’s which will be provided in the session rooms. Please allow ample time for this preparation; preferably the day before you are scheduled to present (not immediately before your talk!). The Preview Room will be open on Sunday for those of you with Monday presentations. In deference to all our presenters, it is important that personal computer/LCD projector compatibility issues be worked out well in advance of your presentation.

Please note that PowerPoint is the recommended presentation software. The projector is expected to be compatible with both PC's and MAC's; however, we ask that you bring a copy of your presentation on a memory stick as a back-up. We thank you for your cooperation in this regard. Any other audio or visual needs such an overhead projector must be requested in advance of the meeting. Please send your request to Della Miller (della@avs.org) and include reference to your Program Number no later than June 1, 2008.

Special Event Reminders
The Welcome Reception will take place on Sunday, July 20, 2008, from 6:00 p.m.-9:00 p.m. on the Belvedere Terrace (on top of the Castle Peak Rooms in the Conference Center).

The Conference Banquet will take place on Thursday, July 24, 2008, from 6:00 p.m.-9:00 p.m. at the Keystone Stables. This will be an authentic Barn Dance and BBQ with live music and dance instruction—complimentary shuttles available to the Keystone Stables.

ICN+T 2008 Poster Presentation Guidelines
Poster Sessions will be held in the Longs Peak Ballroom in the Keystone Conference Center on Monday, Tuesday, and Wednesday, July 21–23, 2008, from 8:00 - 11:00 p.m. Poster presenters are requested to be present at (or near) their poster during the times scheduled for poster viewing.

Boards will be available for presenters to mount their posters at 12:00 p.m. on each day. The poster boards are 4 feet (1.2 m) high by 8 feet (2.4 m) long. The boards are made from cork, and tacks will be available for posting your work. A sign with your program number and the presenter’s name will be placed at your poster’s location. When preparing your poster, please include the title of your presentation, the author listing, and program number.

Posters must be removed immediately following each session. Please note that we cannot take responsibility for any posters remaining on the boards after each session ends.

ICN+T 2008 Manuscript Guidelines
Papers will be reviewed according to criteria set by the Journal of Vacuum Science and Technology (JVST) and must meet JVST standards for both technical content and written English. Proceedings papers will only be accepted on the understanding that the authors honor the normal page charges of the JVST.

Download: JVST Manuscript Instructions (15k PDF)

All manuscripts are refereed to the same standards as regular JVST submissions. It is IMPORTANT that the submitted manuscript has the Program (Paper) Number entered in the top-right corner of the title page.

  • Papers can contain up to a nominal total of 20-25 pages of double-spaced text, tables, figures, references, abstract, etc. If the submitted paper is longer than 25 pages, then the final decision on acceptance for publication will be made by the JVST editors, and will be based on the recommendations of the reviewers.
  • Each figure and table should be on a separate page.
  • Table and figure captions should be listed on a page, NOT under the table or figure.
  • Multi-component figures may take up more than one page if each component cannot be reduced to 1/6 of a JVST page.
  • The text should be DOUBLE-SPACED (the font recommended by the Editor-in-Chief is Times New Roman 12) and pages should have one inch margins on all sides.

Authors may include their internet e-mail addresses along with all other footnotes in the following format: Electronic mail: smith@foo.bar.com

***WE WILL NEED AT LEAST 3 MATERIAL TERMS, IF APPLICABLE, FOR YOUR MANUSCRIPT. THIS IS NEEDED FOR THE JVST MATERIALS INDEX. THESE ARE TERMS INDICATING WHAT MATERIALS ARE DISCUSSED IN THE ARTICLE (MATERIAL REFERS TO CHEMICAL SUBSTANCE.)

NOTE: Your FIGURES CAN APPEAR ONLINE IN COLOR FOR FREE. To take advantage of this you will need to send AIP (the publisher, directly) the electronic file/s (tiff, ps, or eps) of your figures within 24 hours of receiving your Acceptance e-mail from JVST. Again, you do not need to send anything until you receive notice the paper is accepted and has a 9 digit AIP number. Sending color figures in the PDF file used for the review process does not allow for color reproduction (either online or print) at the publishing stage. Only sending AIP the files directly will facilitate this. A “Publisher’s Announcements” email with more details will be sent to you.

Manuscript deadline: August 12, 2008
Please send a cover letter and your paper as a PDF file to nancy@jvst.org. A JVST representative will also be available at the meeting to receive papers.
